Hotel Policy and House Rules

Please read: this page is a draft that is still being reviewed and has not yet been checked by a lawyer. If anything here is unclear, or matters to your booking, please confirm it with our reception on +91 354 225 2242 or [email protected] before you book, and we will confirm it to you in writing.

These house rules apply to every guest and to every visitor at Hotel Apsara. They form part of our Terms and Conditions. They exist so that a hotel full of strangers feels comfortable to all of them.

1. The one rule guests are most often surprised by

Hotel Apsara is a pure vegetarian house. No meat, fish or egg preparation is cooked or served anywhere on the premises, and guests are asked not to bring such food into the hotel or into their rooms. This is not a seasonal arrangement or a matter of what is on the menu that day; it is what this hotel is, and it is why a great many of our guests choose us.

2. Arrival and departure
Check-inFrom 1:00 PM
Check-outBy 11:00 AM
ReceptionStaffed 24 hours
Early check-in / late check-outSubject to availability on the day; a charge may apply. Please ask reception rather than assume.
3. Identification and registration

Every adult guest must produce a valid original photo identity document at check-in. We accept a passport, Aadhaar card, driving licence or other government-issued photo identity document, and identity documents issued locally are accepted. A record of the document is kept in the guest register, as Indian law requires. Foreign nationals must produce a passport and valid visa, and their arrival is reported to the authorities in the prescribed form.

The guest in whose name the booking stands must be at least 18 years old and must be present at check-in.

4. Who may stay

All adult guests carrying valid identification are welcome, including unmarried couples. We do not turn guests away on grounds of religion, caste, region, language, sex or nationality, and we do not tolerate any guest doing so to another.

5. Children, infants and extra beds
  • One infant aged two years or under stays free of charge in a parent's room and is not counted against the room's stated capacity.
  • No extra bed is provided for a child who forms part of a booking.
  • An extra mattress for an additional guest can be arranged in some rooms for ₹1,500 per night (exclusive of GST), payable at the property.
  • Children remain the responsibility of the adults accompanying them at all times, including in the stairwells, the lift and the dining room.
6. Occupancy and visitors

Only the guests recorded on the booking may sleep in the room. If your plans change and another person needs to stay, speak to reception first so that the booking can be amended and the visitor registered; we cannot allow an unregistered person to stay overnight.

Visitors may be received in the lounge and other public areas, and may be asked to register at reception. Any visitor you receive remains your responsibility while they are on the premises.

7. Pets

Pets are not allowed anywhere on the premises, and no animals are kept at the hotel. Recognised assistance animals accompanying a guest with a disability are a separate matter; please contact us before booking so that we can make proper arrangements.

8. Smoking and fire safety

Smoking is not permitted in guest rooms or in the hotel's indoor public areas. In addition, the following apply without exception: no cooking or heating appliance, open flame, candle, incense or portable heater may be used in a guest room; fire extinguishers and escape routes must be kept clear; and tampering with a smoke detector or extinguisher is a serious matter that will be charged for and reported.

9. Quiet hours and conduct

Sound carries in an old hill building. We ask all guests to keep noise down late at night and early in the morning, to use headphones for music and television after hours, and to move quietly in the corridors and stairwells. Reception may intervene at any hour if other guests are being disturbed.

Private parties and events are permitted at the property by prior arrangement with the management. Please discuss any event with reception in advance; an unannounced gathering in a guest room is not an event, it is a disturbance.

10. Care of the room and damage

Please treat the room and its contents as you would your own. You are responsible for loss or damage caused by you, by your party or by your visitors, and we may charge the reasonable cost of repair, replacement or specialist cleaning, supported by an explanation of how the sum was calculated. Furniture and fittings should not be moved between rooms, and hotel property should not leave the building.

11. Valuables

Please keep money, jewellery, travel documents and electronics with you. Items left unattended in a guest room, in the public areas or in a vehicle are at the owner's risk.

12. Housekeeping, room service and laundry

Housekeeping is provided during your stay. Room service operates for part of the day rather than around the clock, and laundry is available as a paid service; reception will tell you the current hours and the current price list. A doctor can be called for a guest who needs one.

13. What the hotel does not have

So that nobody arrives expecting it: there is no swimming pool, gymnasium, spa, jacuzzi or children's play area, and rooms are not air-conditioned. Darjeeling's climate does not require cooling.

14. Accessibility

There is a lift in the building, but the property is not suitable for guests who use a wheelchair, and we would rather say so plainly than have a guest arrive and struggle. If you or someone travelling with you has limited mobility, please telephone us before booking and describe what you need; we will tell you honestly whether we can accommodate it.

15. Luggage, left property and lost items

Luggage may be left at reception before check-in or after check-out on the day of travel. Items found after departure are held at reception; please contact us as soon as you notice something missing. We are not able to hold found property indefinitely.

16. If we have to ask a guest to leave

We may refuse admission or end a stay without refund where conduct is unlawful, dangerous, abusive towards staff or other guests, or persistently disruptive. This is a last resort and is never exercised on any discriminatory ground.

17. Rates, payment and cancellation

Rates are quoted in Indian Rupees per room per night and are exclusive of GST; where GST applies it is added at the prevailing rate and shown separately before you pay. What is included is stated on the rate you book. Direct bookings are non-refundable, with a full refund if the hotel cancels or cannot provide your room. Cancellations, date changes, no-shows and refunds are governed by our Cancellation and Refund Policy.
